Position Summary

As a member of the professional staff, contributes specialized knowledge and skill in a discipline (e.g. Accounting, Finance, Human Resources, Information Technology, Resort Operations, Sales & Marketing) area to support team and/or department objectives. Generally, works under limited supervision, but within established guidelines, monitoring the flow of work between own department and others in alignment with business strategies, selecting and developing effective managers and work teams, managing own organization through reliable systems and processes, and producing and analyzing more complex business information to assist in the decision-making process.

The Manager, Systems Administration (Manager) is responsible for leading and performing problem analysis and issue resolution for one or more assigned Workday modules and may provide occasional backup support for other modules as needed within either the Talent (i.e., Recruiting, Learning, Performance & Development, Succession Planning, Journeys, & Peakon) or Total Rewards (i.e., Payroll, Global Time, Global Absence, Global Scheduling & Labor Optimization, and Compensation) or HCM teams. Responsibilities include configuration of tools, business processes and procedures for Marriott Vacations Worldwide (MVW).

In collaboration with the relevant COE teams, the incumbent is responsible for ensuring the accurate configuration and operation of functionality of the assigned Workday modules.

The incumbent reports to the leader for either the Talent (i.e., Recruiting, Learning, Performance & Development, Succession Planning, Journeys, & Peakon) or Total Rewards (i.e., Payroll, Global Time, Global Absence, Global Scheduling & Labor Optimization, and Compensation) teams. They interface with the remainder of the HRIS team, HR Services team, HR Centers of Excellence (CoEs), HR Business Partners, Finance & Accounting Services, and third-party Providers, among others.

The incumbent is expected to follow all company policies and procedures, ensuring they are applied in all cases assigned to them. This role is responsible for evaluating cases to determine opportunities for improvement to minimize high volume issues. Given the sensitive nature of data involved, the incumbent displays discretion and maintains confidentiality of proprietary information.

Expected Contributions

System Administration

  • Utilize the defined project process from requirements gathering and documentation through customization development, testing and migration.

  • Work in a complex technical environment requiring a multi-product solution as well as product integration and/or custom solutions.

  • Configure technology for assigned Workday modules ensuring appropriate configuration, data capture, architecture, interface management and use set up.

  • Provide specialized application support to users by analyzing, troubleshooting, documenting and training for all assigned tasks relating to client corporate systems applications.

  • Provide recommendations to address and resolve business issues while maintaining data integrity within the application.

  • Communicate with internal and external customers to scope, develop, test, implement and maintain corporate systems changes in accordance with best practices.

  • Manage software improvements and releases including development, testing, and implementation of upgrades and software releases.

  • Effectively communicate project status reports including foreseen obstacles and possible restraints.

  • Participates in process improvements by providing innovative ideas to increase customer service, enhance accuracy, and elevate productivity.

  • Develop, document and manage shared business processes. Prioritize business processes based on impact risk and important to business operations. Develop and administer issue escalation matrix to ensure policy and process compliance.

Issue Resolution

  • Acts as the primary point of contact for issue resolution for assigned systems, responding to HR inquiries.

  • Researches, investigates and reports all problems, corrections, and changes related to inquiries and escalations.

  • Leads in troubleshooting and resolution of issues within assigned Workday modules.

  • Troubleshoots and resolves issues, escalates if necessary.

  • Attends change control meetings to represent any changes affecting interfaces or other modules.

  • Attends HRIS governance meetings to ensure appropriate prioritization of any system changes, projects and other enhancements or fixes.

Communications and Relations

  • Prepares periodic system project updates for executive review and presentation by the team leader and may present details in the leader’s absence.

  • Communicates clearly and effectively with team members, other HRIS teams, customers, vendors, management, and HRIS leadership.

  • Responds to questions, requests, and concerns from employees and management regarding HRIS data.

  • Identify training needs of end users, super users and system administrators. Develop training content and facilitate the delivery of training and instructional support to facilitate user productivity in collaboration with internal and/or external resources.

Policies and Procedures

  • Ensure internal controls are established related to data and systems.

  • Informs leaders and internal audit if any changes in access or internal controls are required to accomplish work deliverables and coordinate these changes, plans and ensures completion of audit steps to mitigate these actions.

  • Recommend ongoing changes in methods, procedures or policies to improve specifically the effectiveness of HRIS capabilities.

  • Assist in reviews of HR systems, procedures and processes and provides recommendations for enhancements that will streamline the processes of the HR department as a whole and will comply with company policies and governmental regulations.

  • Provides accurate and timely status to team lead and management, escalating roadblocks as necessary.

  • Coordinates and drives interface meetings with external teams and vendors

Candidate Profile

Education

  • Bachelor’s Degree in Information Systems or related field, or equivalent HRIS experience required.

Experience

  • Three (3) to five (5) years of Information Systems experience required.

  • One (1) to three (3) years’ experience with Workday modules assigned. Workday module training completions with a minimum of one certification an advantage; training may be in progress toward certification.

  • Experience coordinating and managing competing priorities and issues to facilitate appropriate client support and escalation of issues.

  • Integration development experience (such as mapping, scripting, connectivity, and configuration)

  • Troubleshooting experience.

  • Experience providing technical oversight for complex projects through project life cycle.

  • Experience mentoring and training team members.

  • Experience leading and working on multiple complex projects concurrently.

  • Experience facilitating training delivery an advantage.
